Background:
Gülümseme ve Zeytin Yardimlaşma ve Dayanişma Derneği “GvZ” (Basmeh and Zeitooneh) is a non-governmental, non-profit civil society organization that has been supporting the most marginalized, desperate, and affected people since 2014. From the beginning, GvZ believes that its role is to create ways to empower those affected by developing their skills and reviving their sense of humanity and dignity. Through its community centers, GvZ provides women, youth, and marginalized groups with a range of different humanitarian services such as relief aid, protection, education programmers, and communication with other humanitarian actors on how to advocate for issues deemed essential to bring to light. To this end, GvZ strives to continue honing the skills of people to participate in the peacebuilding process and actively advocate for a democracy that reflects a diverse and socially connected society.
2. Job Summary:
To ensure the effective implementation, coordination, and administrative management of the project by supporting organizations , facilitating communication among stakeholders, overseeing logistical and financial processes, and contributing to the successful delivery of project activities, reporting, and compliance with donor requirements.
3. Responsibilities:
- Coordination and follow-up with Refugee-focused Organizations (RFOs) operating in Türkiye for better project implementation.
- Provide administrative and operational support on the implementation of the project, including organizing activities related to the open call for applications, the capacity assessment process, grant management, training workshops and policy advocacy workshops.
- Follow-up on the project’s workflow according to the work plan.
- Assist in projects’ financial resources management, human Resources Management, efficient procurement and logistical services,
- Coordinating logistics for in-house and remote activities (travel arrangements, venue booking, material preparation, etc.).
- Preparing the files related to the project, especially those required by the donor and maintaining up-to-date records of project documents, including attendance sheets, receipts, reports, and training materials.
- Writing monthly reports, and reviewing the reports that are provided by the focal points.
- Support the timely preparation and submission of internal, reports, donor reports, and any other required project reports,ensuring smooth communication among stakeholders, partners, and the project team.
- Contributing to all training through coordination with coaches and associations and organizations
- Support in the follow-up on financial matters by ensuring that activities are implemented according to the allocated budget.
- Coordination of meetings with the donor and project stakeholders.
- Informing management of challenges and emergency changes and applying the necessary corrective measures through coordination with the line manager.
- Check, and prepare the trainers and training documents, collect them, and coordinate with the finance team for trainers’ payments.
- Preparing all the purchase requests related to the projects.
- Any other tasks or responsibilities assigned by the Line Manager.
4. Education & Experience
- The ideal candidate is expected to hold a bachelor’s degree in Business Administration, Project Management, Business Development, or any relevant academic field. A Masters’s degree in a relevant field will be considered a plus.
- At least two years of experience in the humanitarian field
- Well knowledge and experience in the Turkish & Syrian context.
- Well, knowledge ,networking and experience in civil society work.
5. Competencies:
- Excellent interpersonal and leadership skills, including demonstrated effectiveness in communication with the granted projects’ stakeholders
- Able to work well under pressure and ability to make difficult decisions
- Ability in agile and dynamic response to unanticipated context developments and solve problems in a complex context
- High standards of confidentiality, reliability, and discretion.
- Able to manage multiple activities and identify priorities, meet deadlines
- Fluency in Arabic and Turkish (both oral and written) is required, with a good working knowledge of English.
- Good ability to work in Microsoft Word, Excel, and PowerPoint
