Background and Organizational Context
The role will be within UNHCR’s Private Sector Partnerships Service (PSP), which sits within the Department of External Relations (DER). The Private Sector Partnerships Services (PSP) operates from Copenhagen, the extended arm of UNHCR’s Headquarters, with global coverage through Regional Managers, National PSP Offices and National Partners. The role of Private Sector Partnerships is to raise funds from the private sector, including corporations, foundations, high net worth individuals, and individual donors.
PSP’s Private Partnerships and Philanthropy (PPH) Section, under PSP, develops and strengthens long-term partnerships with corporations, foundations, and private philanthropists (“PPH donors”). The primary role of PPH colleagues is to seek various forms of support from such donors: securing funding for UNHCR programs and projects is considered priority, but the work also includes leveraging the capacities of these relationships beyond funding, to build long-lasting holistic partnerships bringing various forms of support to UNHCR and to persons of concern, such as advocacy, visibility, expertise, innovation, and public engagement.
The private sector engagement strategy (PSE) recognized not only the role of private sector in supporting UNHCR beyond financial contribution, that is by providing long lasting solutions or by engaging in advocacy to address force displacement, but also the need of a whole-of-organization approach in engaging with the private sector. A global and centralized CRM will play a fundamental role in improving internal coordination, streamlining processes, and delivering best in class donors relationships and stewardships.
Purpose and Scope of Assignment
The PPH Fundraising Assistant (Planning, Digital, and Data) will be joining the Strategic Planning and Coordination unit. The multifunctional team reports directly to the Chief of the PPH section and covers 5 areas:
1. PPH Strategic Planning and resource allocation
2. Coordination of UNHCR attendance to High-level events
3. Data Analysis on PPH portfolio
4. PPH HQ finance and budget
5. Digital infrastructure and Change Management solutions
The PPH Fundraising Assistant (Planning, Digital, and Data) will work closely with the Associate PPH Officer (Digital & Data Analytics) in the team that is the focal points for financial planning, data analysis, and digital initiatives across the PPH HQ section.
Scope of Work:
1. Support on financial management and strategic planning of the HQ section (approx. 40% of the time):
– Track expenditures and assist with the reporting process and funding reallocation for ABOD, OPS, Staff and UNOPS.
– Serve as the team focal point for procurement processes (above a threshold) and payments/requisitions creator.
– Coordinate with the Procurement and Finance function as needed to execute on the duties
– Guiding colleagues and answering questions on budget, procurement, and financial processes
– Execute other tasks related to finance and budget as needed
2. Support on digital tools roll-out and adoption (approx. 30% of the time):
– Facilitate the adoption of fundraising digital tools by acting as a first line of support and assisting on promoting IT solutions across the network
– Assist the team in building digital communities for fundraising best practices and in leveraging IT solutions (e.g. CRM and SharePoint) for knowledge management
– Support the team on project management and other activities as needed
3. Support on data analysis (approx. 30% of the time):
– Assist the Associate PPH Officer (Digital and Data Analytics) on expanding the analytics and BI solutions as well as the internal datasets available on fundraising data
– Perform analyses of available internal financial and operational data and contribute as needed on the development and release of PPH analytics and business intelligence solutions
Monitoring and Progress Control
The following key performance indicators (KPIs) will guide and measure progress:
Financial management:
– Ensure timely payment of invoices and processing of procurement request
– Up to date and accurate expenditure monitoring and reporting submissions
Progress will be reviewed periodically by the Associate PPH Officer (Digital and Data Analytics) and by the Senior PPH Officer (Strategic Planning & Coordination).
Qualifications and Experience
Education:
High school degree as minimum requirement. University degree in Business Administration, Political Science/International Relations, Finance, or another related discipline will be accepted and reduce the level of work experience
Work Experience:
A minimum of 1 year of relevant experience (with a bachelor’s degree or equivalent or higher) or 2 years of relevant experience (with a high school diploma) in Finance, Project Management, Data analysis in an international organization
Key Competencies:
Required
– Have strong analytical and critical thinking skills to solve complex problems as well as good attention to details.
– Have advanced experience using the Microsoft Office suite (Primarily Excel, and PowerPoint) and sharepoint.
– Have excellent communication skills with strong interpersonal skills, be a keen team-player, be organised and able to take initiative.
– Ability to work independently managing own deadlines and show a genuine desire to learn, develop, and adapt.
– Proven ability to manage initiatives with multiple stakeholders, ensuring timely and successful delivery.
Desired
– Familiarity with UNHCR’s operations, policies, procedures and financial management processes
