Islamic Help is a UK-based international relief and development organisation that has developed rapidly since being established in 2003. Our programmes aim to help and empower disadvantaged communities in the UK and abroad; some of the key areas we work in are emergency response, WASH, education, livelihood and environment conservation.
The Role
We are looking for a dynamic, organised and responsive International Programmes and Partnerships Support Co-ordinator. Someone who isn’t afraid of hard work, who shares our values and who wants to be part of something extraordinary. This exciting post will support the emergency response, administration, and co-ordination for our international department and its programmes across the Middle East, Asia and Africa.
The post holder will work closely with our internal and external stakeholders, especially in terms of emergency response, donor feedback, grant management and relationship building, so we’re looking for a team player, someone very organised and with super people skills.
Key Responsibilities:
- Support the Director of International Programmes on the management of the department including development of departmental calendar, co-ordinating the weekly meetings with agendas and record keeping, oversight and development of departmental workplan
- Ensure that office grants are processed in a timely and effective manner in accordance with our policies, procedures and standards
- Prepare, review and renew MoUs and funding agreements with a range of our offices and partners
- Co-ordination of the due diligence process
- Maintenance of records and files in line with IH document management and IT policies
- Provide support to approved projects and ensure there is continuous oversight and support throughout the project management cycle including financial and periodic reporting
- Communicate with offices and partners as and when necessary and communicate progress or queries to colleagues
- Support Regional Programme co-ordinators in preparing payments for approved grants
- Support the programmes team in the analysis of budgets and reports to determine impact, achievements and outputs
- Prepare feedback reports for donors and other stakeholders within appropriate timeframes
- Provide marketing colleagues with appropriate beneficiary data and case study material etc.
- Verify budgets, invoices and financial liquidation reports to ensure that money is being spent according to the approved operational budget, plan and conduct appropriate desk reviews
- Review budgets and communicate any changes where needed
- Ensure the prioritisation of the most vulnerable within the communities Islamic Help serves by adopting a pro-active, holistic approach to safeguarding
- Contribute to department workplans, help set budgets and manage programme funds
- Support the Director of International Programmes on Emergency Response including –development of Emergency Response process, first response, setting up Emergency Panel, development of surge capacity and the development of proposals and reporting
- To participate and actively engage, under the supervision of the Director of International Programmes, as part of Islamic Help’s first response to an emergency, including but not limited to travelling to emergency response locations, planning and implementing emergency response projects and liaising with partners and others to ensure successful implementation
- Support Donor Reporting Manager on Mosque and WASH project feedback including oversight on all WASH and Mosque projects, monitoring their progress and ensuring donors receive feedback in a timely and professional manner
- Support the partnerships department with partner care – accompanying partners on field visits wherever needed to ensure the smooth co-ordination of operations and projects
- Any other duties commensurate with the accountabilities of the post.

Required
- Experience of writing formal reports to a high standard, and an eye to detail and accuracy
- Aware of best practices for humanitarian relief and development agencies, and current International standards
- Excellent knowledge of all Microsoft Office applications
- Ability to manage multiple tasks and prioritise a complicated workload
- Team player and positive attitude when working with others
- Adaptable and flexible in working style
- Problem solver
Desirable
- Experience of either emergency/field work or grant management within a similar organisation (emergency, recovery or developmental)
- Experience working at an INGO HQ
