The IOM Country Office for Belgium & Luxembourg is implementing projects in migration related areas such as migration and development, migrant protection and assistance, labour migration, integration, counter-trafficking, vulnerable migrant groups and unaccompanied migrant children.

Working under the overall supervision of the Head of Resource Management, the successful candidate will assist the Human Resources Assistant with the operational activities of the Resource Management Unit and provide support to the IOM Country office Brussels team.

Responsibilities

Provide administrative support by ensuring the smooth execution of Human Resources processes. The tasks include, but are not limited to, supporting in:

  • Contract Management: Updating trackers and HR databases, monitoring contract expirations in line with notice periods, and ensuring timely follow-ups;
  • Recruitment: Assisting in the recruitment process for General Service Staff and Interns, including circulating vacancy announcements, coordinating interviews with the candidates, preparing the required documentations for interviews and assessments, and supporting with the reference and background checks;
  • Time Management: Recording and tracking staff absences to ensure accurate records;
  • Staff Training & Development: Maintaining mandatory training trackers and following up with staff to ensure compliance;
  • Event & Meeting Coordination: Assisting in the organization of HR-related meetings, training sessions, and events;
  • Personnel Administration: Ensuring proper and systematic filing of personnel and administrative records in accordance with established standards.

  • The successful candidate will gain working experience in an international multicultural environment within the United Nations system;
  • The successful candidate will gain hands-on experience in general HR operations, including recruitment, employee record management, and supporting HR compliance tasks;
  • The successful candidate will gain experience in maintaining employee records and using HR databases;
  • The successful candidate will develop a strong understanding of best practices in HR Management and Administration;
  • The successful candidate will gain a better understanding of IOM’s work, as an inter-governmental organization in the field of Migration with actors such as the European Union, Governments and other partners to help ensure the orderly and humane management of migration.

Qualifications

Education

  • Required field of study: Human Resources, Business Administration, Social Sciences, Economic Studies, or a related field from an accredited academic institution.

Applicants to IOM internships must, at the time of application, meet one of the following requirements:

  1. Be enrolled in the final academic year of a first university degree programme (minimum Bachelor’s level or equivalent);
  2. Be enrolled in a graduate school programme (second university degree or equivalent, or higher); or
  3. Have graduated with a university degree and, if selected, must commence the internship within one year of graduation.

Experience & Skills

  • Strong administrative and organizational skills;
  • Strong attention to detail, with the ability to maintain confidentiality and adhere to privacy standards;
  • Ability to quickly learn new tasks and efficiently generate relevant information;
  • Previous volunteer or internship experience in an international organization, governmental institution, or NGO is considered an advantage;
  • Proficiency in Microsoft Office tools and the ability to quickly adapt to HR systems.
  • Proven interest in developing a career in Human Resources management or Administration.
  • Previous volunteer or internship in an administrative role will be considered an advantage.

Languages

  • Fluency in English is required.

Other

The internship is subject to local recruitment: only persons holding a valid residence and work permit for Belgium will be eligible for consideration.

Interns must be between 20 and 36 years of age.

The intern is expected to apply and obtain a scholarship to cover his/her costs of living during the internship. An application can be submitted, for instance, to the Flanders Trainee Programme – Departement Buitenlandse Zaken (fdfa.be) or Wallonie-Bruxelles International (wbi.be).
The start of the internship position is based upon availability of funding for the position.
