Position Title: HR & Finance Assistant
Location: Amman, Jordan
Contract Type: Full-time, 7-month renewable contract
Start Date: June/1/2024
Job Summary
Under the direct supervision of the Operation Manager, the HR & Finance Assistant will provide day-to-day administrative, HR, and financial support. This role ensures compliance with organizational policies, Jordanian labor laws, and donor regulations, while maintaining efficient office operations.
Key Responsibilities
Human Resources
- Recruitment & Onboarding:
- Draft and post vacancy announcements.
- Screen CVs, schedule interviews, conduct reference checks.
- Prepare and track employment contracts, offer letters, and onboarding materials.
- Records & Compliance:
- Maintain up-to-date personnel files (hardcopy & electronic).
- Assist with work permit and visa renewals, health insurance enrollment, and end-of-service procedures.
- Payroll Support:
- Collect and verify staff timesheets and leave records.
- Coordinate with Finance to ensure accurate and timely payroll processing.
Finance
- Transaction Processing:
- Verify and process supplier invoices, purchase orders, and payment vouchers.
- Manage petty cash: cash advances, reimbursements, and monthly reconciliations.
- Data Entry & Reporting:
- Enter transactions into accounting software (e.g., QuickBooks or ERP).
- Assist with monthly budget monitoring: track expenditures against budgets.
- Prepare routine financial summaries and support donor report preparation.
General Administration
- Office Coordination:
- Organize travel, accommodation, and meetings for staff and visitors.
- Liaise with suppliers and service providers for office procurement.
- Documentation & Translation:
- File, scan, and archive official documents.
- Provide Arabic↔English translation of HR and finance communications as needed.
Qualifications & Experience
- Education:
- Bachelor’s degree in Business Administration, Accounting, Finance, Human Resources, or related field.
- Experience:
- Minimum 2 years’ combined experience in HR and finance, preferably within an NGO or humanitarian context.
- Familiarity with Jordanian labor law, NGO financial controls, and donor compliance requirements.
- Technical Skills:
- Proficient in MS Office (Word, Excel, Outlook).
- Experience with accounting software (e.g., QuickBooks) and HR information systems.
- Languages:
- Fluency in English and Arabic (written and spoken).
