Base Coordinator

ROLE DESCRIPTION
This role has an area focus and ensures compliance to Tdh procedures and guidelines within the area. The role contributes to guide working processes within office according to the principles, policies and standards of Tdh, which are translated into action plans and day-to-day tasks. The role provides support and/or technical guidance to base operations.
Under the supervision Deputy Head of Delegation (Deputy Country Director) the Base Coordinator will coordinate, facilitate, and administer the smooth running of office(s) assigned to them. S/he will coordinate tasks which crosscut and falls within other departments like HR, Finance, Logistic and Programs, through respective focal points and in line with Tdh`s Ukraine policies and procedures.
MAIN RESPONSIBILITIES
- Leads area activities and create results which impacts the area thought the direct management of the staff operational procedures at the assigned base.
- Enables and oversees the implementation of policies or activities of short-term and operational nature within the area of operation.
- Enables a productive and accountable relationship with beneficiaries, communities’ leaders, representatives, relevant governmental authorities, NGOs, and initiative groups.
- Weekly, liaise with his/her line manager and provide updates on pending tasks.
- Meet and greet office visitors, as and when required.
- Facilitate translations, including writing official letters and printing documents/forms.
- Manage and collect complaints and submit them to the SMT (senior management team).
- Facilitate and coordinate weekly meetings, among support staff within his/her respective office(s).
- Handle employee grievances and disciplinary issues; Impartial mediation in disciplinary procedures.
- People management of direct reports.
- Raising of necessary requests for the office needs and supplies, such as stationery and cleaning materials etc.
- Submit monthly cash requests.
- Support and mentor staff members by identifying clear deliverables and providing trainings.
- Ensure all maintenance work that is required at the office is carried out by general duties staff.
- Assign and manage accommodation for visitors and permanent staff at his/her location.
- Any other duties, as requested by line Manager.
YOUR PROFILE
To be successful in this role we expect you to have previous base coordination experience in complex and volatile environment with a minimum of 3 years’ experience overseeing humanitarian and early recovery multi-sector, multi-donor programmes.
Moreover, we also expect the following:
Key Qualifications and Experience required
- Master’s degree or equivalent in social sciences, law, economics or similar area (preferably with a focus on management)
- At least 3 years’ experience in people management
- Strong leadership skills and a competence in people management
- Practical and extensive organizational, Human Resources and administration management
- External stakeholder management (especially with local authorities)
- Experience with relevant donor guidelines
- Good reporting capacity
- Excellent skills in MS Word, Excel, and PowerPoint
- Good working knowledge of ITC technologies (related software, phone, email, the internet) and computer applications (e.g. MS Office, Teams)
- Professional working level in written and spoken English and Ukrainian language is required. French will be an asset.
- Excellent interpersonal communication, ability to communicate effectively on culturally sensitive issues to diverse audiences
- Ability to be proactive and work independently
- Ability to operate in a high stress and unpredictable environment
- High level of discretion, integrity and sense of tone
- Stress-resistance and good self-organizational skills
- Ability to work effectively in a fast-paced and dynamic environment, handling multiple priorities
- Strong analytical and problem-solving skills, with attention to detail.
Personal competencies:
Desirable
- Experience managing several bases/offices simultaneously.
- Previous experiences in Protection, Cash and Shelter sectors.
Employment conditions
- Full-time position with 40-hours working week. The contract duration is 1 year with possibility of extension. Considering peculiarities of duties regular presence in the office is required (with possible remote working days upon arranged schedule).
