Greening strategy:

ACTED PSEAH Policy:

The Finance Assistant – Budget unit has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The Finance Assistant has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organisational policies or codes of conduct according to ACTED’s procedures. The Finance Assistant carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers.

Job Purpose

Under the authority of the Finance Supervisor & the CFM – Budget Management unit Finance Assistant will be in charge of supporting in Budget Unit functions. More specifically, s/he will be in charge of the implementation and follow-up of financial management, control tools and Audit.

Objectives

  • Support the budget management unit team in the control tools update.
  • Support the Finance Supervisor, the CFM, and the Capital finance Team
  • Participate in the preparation and follow-up of external audits of donors.

Duties & Responsibilities

  1. Implementation and Follow-Up of Financial tools

    1. Allocations
  2. Assist in the monthly Allocation Tables for shared running costs and staff Time Sheets (monthly and upon new contract/grant signature as well).

    1. Budget Control
  3. Assist in updating the monthly Acted and REACH BFUs for all projects in collaboration with the Area’s AC/DAC, PMs, and Finance

  4. Check the monthly CFU-DFU, ensure accuracy, no duplicate or missing data

  5. Update the monthly SAGA, CFU, DFU, and Exchange rate tabs in each project’s BFU (Acted and/or REACH)

  6. Upon request from Finance Supervisor, prepare a BFU template for new projects

  7. Validate partners Financial Reports across supporting documents, and receive and consolidate their BFUs

  8. Update any sub-BFUs such as IT, HR, MEAL, MTAs, etc…

    1. Prepare and update Financial Sheet and BFU Template of any new project
    2. Assist in Financial Reports to donors
  9. Compliance/Donors’ Audit:

  10. Assist in the preparation of the Time Sheets

    1. Follow up on any other required documents from BU and ensure timely submission
  11. Teamwork:

    1. Assist the team members when requested
    2. any other tasks assigned by the Finance Supervisor or the CFM

Skills & Experience

  • Bachelor’s degree in accounting, finance, or any related field (Master’s is a plus).
  • Acceptable level of knowledge in Excel
  • Previous experience as a Finance Assistant in an International NGO
  • Ability to communicate easily in Arabic and English
  • Excellent writing skills in English.
  • Rigorous and detail-oriented
  • Demonstrate flexibility, dynamism, and autonomy.
  • Ability to work under pressure.

Key Performance Indicators

  • Timely and accurate update of assistance in monthly BFU, Timesheets, and Running cost allocation tables
  • Accuracy of the mission financial data
  • Adherence to external deadlines
  • High level of effective and efficient communication with the field staff
