SCOPE OF WORK:
The Receptionist is a key support role responsible for managing the front desk, welcoming clients, and facilitating collaboration between programs, administration and general operations. This position will handle a range of tasks, including HR support, internal and external communications, vendor and staff relations, and general administrative duties. The Receptionist plays a vital role in ensuring smooth daily operations and reports directly to the Operations Manager.
RESPONSIBIITES:
Responsibilities include, but are not limited to:
- Comply with all IRC policies, procedures, and protocols, including adherence to the IRC Way and Child Safeguarding.
- Greet staff, clients, and guests warmly, both in person and over the phone, ensuring a friendly and welcoming atmosphere.
- Treat all staff, clients, and guests with professionalism, respect, kindness, and dignity.
- Answer or redirect inquiries from clients and guests to the appropriate staff member.
- Regularly monitor the voicemail system, forwarding messages to the appropriate staff for follow-up.
- Maintain updated front desk processes and procedures and keep lobby bulletin boards current with relevant information and flyers.
- Ensure the reception area is safe, clean, and organized at all times.
- Participate in staff development activities and engage as an active member of the team.
- Assist with office logistics, such as restocking and ordering office supplies, and locating items needed by staff.
- Manage minor office logistics and security tasks, including light maintenance (identifying needs, liaising with repair persons, coordinating with cleaning services) and organizational tasks (key-making, ensuring alarm systems are functioning, etc.).
- Communicate with vendors for office supplies, visibility items (e.g., business cards, office signs), printing materials, and other administrative needs.
- Support HR-related tasks as assigned, including paperwork, filing, and maintaining proper documentation.
- Perform other duties as assigned.
Job Requirements:
Education:
- High school diploma or GED required.
Work Experience:
- Minimum 1 year of directly related professional experience required.
- Experience working directly with clients and customers through external-facing, customer service-related position

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
